GTA Event Rental (“we”, “us”, or “our”) provides event rental and décor services subject to the Terms below. By requesting a quote, paying a deposit, or otherwise booking services, you agree to these Terms.

1. Quotes & Bookings

  • Quotes are valid for 7 days unless stated otherwise and are subject to product availability and venue access constraints.
  • A booking is confirmed only after the required deposit is received and you have provided all requested event details (date, venue, access times, contacts).
  • Inventory is allocated on a first-paid, first-reserved basis.

2. Payments & Deposits

  • A non-refundable deposit of 50% is required to secure your date and inventory; the remaining balance (including HST) is due 15 days before the event, unless otherwise agreed in writing.
  • Payments are processed via our approved payment processor(s). Prices are in CAD and subject to HST unless stated otherwise.
  • Additional charges may apply for extended labor, stairs, elevators, long carries, off-hours access, parking, tolls, or wait times.

3. Cancellations & Rescheduling

  • Deposits are non-refundable. If you cancel after paying the balance, refunds (if any) are at our discretion based on notice period, prep work, and losses incurred.
  • Rescheduling is subject to availability. We will apply your deposit to a new date within 12 months where possible; pricing may change for new dates or venues.

4. Delivery, Setup & Pickup

  • Standard delivery and pickup occur within the time windows agreed in the invoice/contract. Exact times may vary due to traffic, weather, or venue constraints.
  • You (or your authorized representative) must be present at delivery/setup to confirm placement, and at pickup for counts and inspection.
  • Client is responsible for securing loading access, permits, elevator bookings, and any venue charges for access or overtime.

5. Client Responsibilities

  • Provide accurate event details, contact information, and timely approvals.
  • Ensure venue readiness (clean, accessible, clear of hazards) and that layout/placement complies with venue rules and fire codes.
  • Prevent unauthorized handling of décor/rentals by guests or vendors unless we approve in writing.

6. Damage, Loss & Security

  • You are responsible for all rented items from delivery/setup to pickup, including any loss, theft, stains, burns, weather damage, or breakage.
  • Repair/replacement fees will be charged at current retail or specified replacement cost, plus any associated labor and sourcing time.
  • Security may be required for certain setups (e.g., outdoor, overnight, high-traffic areas).

7. Rental Period, Late Fees & Cleaning

  • Unless stated otherwise, the rental period is event-day only. Multi-day rentals must be agreed in writing.
  • Late returns or delayed pickup caused by the client may incur additional day rates and crew overtime.
  • Standard cleaning is included. Excessive cleaning (e.g., wax removal, confetti/glitter in fabrics, food/beverage spills) will be billed at our cleaning rate.

8. Substitutions & Availability

  • If a specific item becomes unavailable, we may offer a comparable substitution or a refund/credit limited to the affected item(s).
  • Fresh florals/greenery (if provided) are natural products—variations in colour/size are expected.

9. Photos, Media & Marketing

  • Unless you opt out in writing before the event, you grant us permission to photograph/record our décor for marketing (website, social media, portfolios). We will not disclose your personal contact details.
  • We respect venue restrictions and will comply with reasonable requests regarding photography.

10. Liability & Indemnification

  • To the maximum extent permitted by law, our liability is limited to the amounts you paid for the specific services/items giving rise to the claim.
  • You agree to indemnify and hold us harmless from claims, damages, and expenses arising from your breach of these Terms, misuse of rentals, or failure to comply with venue rules or laws.

11. Safety, Electrical & Venue Rules

  • Only our staff may handle installation/removal of structures, staging, or electrical décor unless we authorize otherwise in writing.
  • Client must ensure safe power supply and compliance with venue safety policies. We may refuse or modify an installation if conditions are unsafe.
  • Permits/inspections (e.g., tents, open flame) are the client’s responsibility unless otherwise agreed.

12. Weather & Force Majeure

  • Outdoor events carry inherent risks. Client assumes responsibility for weather-related impacts to décor/rentals once delivered and set.
  • We are not liable for delays or non-performance due to causes beyond our reasonable control (e.g., severe weather, accidents, strikes, government actions, utility failures).

13. Privacy

We handle personal information in accordance with our Privacy Policy.

14. Governing Law

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. The courts located in Ontario shall have exclusive jurisdiction.

15. Changes to These Terms

We may update these Terms from time to time. The “Last updated” date at the top reflects the most recent changes. Continued use of our services signifies acceptance of the updated Terms.
